Time Profiles

A time profile allows you to define the operational hours of your store across different time periods. Whether it’s setting up opening and closing times for online ordering, establishing service hours for table reservations, or restricting menu availability in Tapa ordering, time profiles offer versatile functionality. Beyond scheduling, they can also be used in promotions and product configurations, providing flexibility to tailor your operations to meet the unique needs of your business.

In Time Profiles, the ability to establish multiple Schedules enables users to define specific date ranges with different operating hours. This functionality is particularly useful for businesses that operate with varying schedules throughout the year, such as seasonal changes, holidays, or special events. By setting up multiple schedules within a Time Profile, businesses can easily manage their operating hours for different periods, ensuring accurate representation of their availability and enhancing scheduling flexibility.


Editing a Time Profile

  1. After signing in to the Back Office select >Settings then select Time Profiles and a list of the currently configured Time Profiles are displayed.

  2. To edit the settings of a Time Profile click the ‘Edit’ icon beside the required profile.


Creating a New Time Profile

  1. Click on the +New button.

  2. The Reference number is automatically generated.

  3. Enter the Description This will be the name of the Time Profile. Use a friendly name as this will be the name you will use to identify the time profile when you are using it.

  4. Chose the Valid From Date i.e. the date the day the Time Profile starts.

  5. Chose the Valid To Date i.e. date the Time Profile ends.

  6. Select Next

  1. Next you need to step-up the Schedule. By default the new Time Profile will create a Schedule with the Schedule Name and the Valid From and Valid To Dates configured and each Day will be set as Closed.

Note: Schedules are used to define specific date periods within a Time Profile. A Time Profile can have multiple schedules each with their own unique daily hours.

  1. Select the required days you wish to apply the time profile to by marking them as Open using the slider.

  2. Then from the first drop-down box select the Open time and from the second drop-down menu select the Close time.

Note: Select ‘Add Hours’ if a day has multiple opening hours and add any additional hours.

  1. Select the ‘Save’ button to save changes.

Adding Additional Schedules

Within a Time Profile, you can establish multiple Schedules to define date ranges with varying operating hours.

  1. Click on the +Add Schedule button.

Note: In order to avoid issues, ensure that scheduled dates do not overlap, as the system will use the first applicable schedule detected.

  1. Enter the New Schedule Description.

  2. Select the Valid From Date.

  3. Select the Valid To Date.

  4. Select the required days you wish to apply the schedule to by marking them as open.

  5. Then from the first drop-down box select the Open time and from the second drop-down menu select the Close time.

  1. Select the ‘Save’ button to save changes.

Time Profile Exceptions

Time profile exceptions refer to deviations or special cases within a predefined schedule. These exceptions allow for adjustments to the standard dates and operating hours within a time profile. Exceptions can be used to change the opening and closing hours for one off events within the selected Time Profile date range.

Tip: Time Profile Exceptions can be used in advance to prevent online orders or table reservations for any days an establishment may be closed. e.g. Christmas.


Creating a Time Profile Exception

  1. To add an Exception select the Date From then chose the Year , Month and Date.

  2. Select the Time From using the selector to chose the correct time. This will be the time you want the exception to begin.

  1. Select the Date To then chose the Year , Month and Date.

  2. Select the Time To using the selector to chose the correct time. This will be the time you want the exception to end.

  3. When you have finished, select Generate Slots, these will appear on the right side of the screen.

Note: Any temporary exemptions added from the POS will also show here.


Sending Changes

  1. After all changes have been done select the ‘Save’ button on the Time Profile to save.

  2. Select ‘Update Tills’ from the main screen and ‘Send Changes’ to apply changes after the next reboot or end of day, or alternatively select ‘Get Updates’ from the point-of-sale Functions screen.
